Below are some important points that must be adhered to. Failure to fully comply with the checklist may result in non-payment for the job.

As the representative handling these movements, you play a crucial role in observing, listening, and interacting with others. It is important to conduct yourself appropriately at all times. To prevent potential conflicts, refrain from sharing personal opinions about the vehicle with either the customer or the dealer. Your role requires impartiality throughout the process.

1. Call or text message the purchaser/drop off contact and seller 1 hour before arrival at the customer's house

It is crucial to prioritise the readiness of both the customer (pick up) and the dealer (drop off) to facilitate a smooth collection process. This proactive approach aims to minimise any potential delays.

2. Conduct full check of the car, including all exterior panels, glass and trims

The standard Engineius guidelines must be followed in this case. It is vital that you document and provide photographic evidence of any damage, regardless of its severity. This step is critical because even minor damages can affect the valuation of a vehicle. Therefore, it is necessary to approach the task in a systematic manner. Failing to identify any damage can result in potential liability for repair costs.


3. Check under to bonnet for damage

Take a photo of the engine bay, and wheel arch and add it under additional photos.

4. Conduct a full check of the interior of the car, including basic electrical functions, all doors, windows, electric wing mirrors, sunroof and radio

You are responsible for evaluating vehicle operation on behalf of the purchasing dealer, so it is essential that you maintain a methodical approach to ensure that all basic electrical functions are thoroughly tested and in working order.

Additionally, please pay attention to the following internal items during the inspection:

  • Headrest: Look out for any cuts, tears, or marks that may be present.

  • Seats & Mats: Check for cuts, stains, burn marks, or any other notable damage.

Taking the time to carefully assess these components will contribute to a comprehensive evaluation of the vehicle's condition.

5. Check the reversing sensors to ensure they are working correctly

To check, reverse the car to determine that the reversing sensors are working to the correct function.


7. Check and take picture of the locking wheel nut, book pack, parcel shelf, service history and V5C

All items should be evidenced by photos under additional items.

​Be sure to report items as missing to buying dealership (always assume there are two keys).

8. Take picture of customer's proof of identity

Photographic proof of the customers identity should be recorded under additional items.

9. Test drive

To ensure the vehicle's optimal performance, drivers are required to take the car on a brief test drive lasting around 5 minutes to bring the vehicle to the required temperature. During the test drive, drivers should pay close attention to any evident mechanical issues related to the gearbox or clutch. Additionally, they should listen for any unusual engine or suspension noises.

If any concerns or issues arise during the test drive, it is crucial to inform the dealer immediately. Once the vehicle reaches the appropriate temperature, drivers must take a picture of the dashboard, specifically highlighting any engine management or warning lights present.

Upon completing the inspection, contact the dealer using the provided contact details in the Drop Off notes. It is essential not to leave the site until the dealer confirms the sale and assures that the funds have been transferred to the customer.

10. Any issues found should be escalated immediately to the Dealer (Critical)

Once the inspection has been completed, call the dealer using the contact details located in the Drop Off notes. Do not leave site until the dealer has advised the sale is confirmed and funds have been paid to the customer.

Never assume that your opinion of fair wear and tear matches that of the buying dealership. Words like "mint" should never be used.

Do not leave the site until the dealer has advised the sale is confirmed and funds have been paid to the customer. If you do leave site without this confirmation this will result in removal from the network.

11. When you leave the customer, make sure to collect documents, including service history, V5C and keys (Critical)

Do not leave site without these as missing items will significantly affect the re-sale value of the vehicle

3. Drop-off Checklist

1. Call dealer 1 hour before delivery

Standard courtesy applies here to let the dealer know you are coming. By doing this, it will help minimise any potential delays in finalising the vehicle delivery process.

2. Hand over all documents to dealer on delivery and take complete pictures (Critical)

Complete normal Engineius drop off process and ensure content of photos are consistent with those taken at pickup

3. If dealer identifies additional damage on the vehicle not highlighted at collection, call Engineius ops (Critical)
