Car Washing Procedure

Some checklists include the requirement for the vehicle to be cleaned. Details and requirements for how to carry out the request and claim the relevant expenses are below.

If a carwash is listed on a customer checklist, then this is a mandatory requirement.

Step-by-Step Process 🧽

  1. Use the GoWash app to look for the nearest car wash, if none is within 10 miles then use the nearest alternative that offers receipts. This must be a professional carwash. (Jetwash use is permissible). Cleaning the vehicle yourself at home does not fulfil the requirement.  

  2. Pause the app for ‘Vehicle Cleaning’ on arrival. 

  3. Choose the cheapest option (maximum expected £15) within the following order of preference: – Only choose a more expensive option or valet if specifically requested on the checklist.

    • 1st - Professional Hand wash (e.g. bronze level clean) 

    • 2nd - Jet wash 

    • 3rd - Mechanical Brush wash (only for cars, not vans) 

  4. Take pictures of the vehicle being cleaned (showing the vehicle registration), and of the price board/jet wash dispenser, if required. 

  5. Obtain and photograph a receipt and take a picture of this for your expense evidence.

  6. Submit an expense request for ‘Cleaning’ with evidence (do not include the £3.75 cleaning service fee or request this additionally - it will automatically be added when the cleaning expense is approved)/

  7. Resume the app before continuing your journey.  

Cleaning Service Fee 💷

What is the cleaning service fee? 
You will receive a £3.75 flat rate for carrying out this service which has been requested by the customer.

How can I get the cleaning service fee?
Once you have completed the car wash as per the supplier's request, log your cleaning expenses as per the above guidance. When this is approved by our admin team, the cleaning service fee will automatically be added for you – no need to request it 
 
By doing this you will receive your £3.75 as payment as well as the expense incurred when cleaning the vehicle.  
 
Please note: the cleaning service fee will not be paid if the job isn’t paused whilst conducting the car wash. The pause function category for a car wash is “vehicle cleaning”. 

Payment, evidence, and process 

What is acceptable evidence?
 The evidence submitted needs to show the cost spent and the specific car being cleaned. The best option is a timed and dated receipt (e.g. GoWash) as this proves the date & time of the wash to be during the move, as well as the cost. If we cannot provide evidence to the customer that the specific amount was spent cleaning the specific vehicle, then we cannot approve the expense. Therefore, please do ensure to always pay by card not cash; as this allows you to use the bank transaction as evidence as a last resort.
